Put together course series of every running course for single customers – with your own price and discount, paid online via Stripe.
- For admins
Goal
A tailored offer for a family, a club or a company without creating a course of its own.
What you need
- Admin role
- Included in every plan
- At least one course series with a date range and upcoming sessions
- Connected Stripe account
Step by step
Open Courses → tab Individual packages and tap New package. The wizard takes you through five steps (customers, courses, positions & price, payment & offer, overview); Next checks every step, and the steps at the top take you straight back or ahead.
Under Customers and participants search a customer and add them. Tick the people who take part – earlier participants, the customer themself or a new person via Add person. Each customer gets a package of their own. Not created yet? Use Create new to add them right here.
Under Courses you see every course series with a date range (e.g. an autumn course from September to December). Tick the whole series the package should hold – single sessions are not part of packages. Full series can still be chosen – they are marked Overbooked.
Under Positions and price enter the package name per customer and, per series, the invoice title and the position name. Below there is one row with name and price for every participant (two people = two rows). Change single prices or the total – the other amounts follow with every keystroke.
Under Payment choose In one go (optionally with a discount in % or a fixed price in €), Monthly instalments or Flexible – then the customer chooses in the offer whether to pay in one go (with the discount) or monthly. The number of instalments is fixed: the months from the first instalment to the last session of the longest series. Payment is always online via Stripe.
Optionally enter a text for the customer and tap Save as draft.
With Save and send as offer you choose until when the offer is valid (14 days by default, 90 at most) and send it. The customer gets an email with the link; the spots are reserved until that day.
Through the link the customer sees every series, the price and the payment plan – without signing in – and taps Decline offer (optionally with a reason) or Pay. Pay leads straight to the Stripe checkout; with Flexible the customer chooses how to pay first.
Only the payment books everything: each series gets one booking with every participant and an invoice of its own (invoice title, a line per person, a package discount in proportion). The customer gets every invoice in one email, you get a notification. If the customer cancels the payment, nothing is booked.
With monthly instalments the customer saves their card in the checkout. Each series then becomes a subscription like a course one: the first instalment (with any rounding rest) is charged right away, then monthly on the same day. Every paid instalment comes as an invoice of its own by email. After the last instalment the subscription ends by itself.
Tips
- Drafts are in the tab Individual packages; a click opens them to edit or delete. Sent packages open an overview with status, history, positions, payment and – once paid – every booking.
- Packages need a connected Stripe account.
- The card “How an individual package works” (list and first step of the wizard) shows the whole flow; you can fold it. The (i) icons explain single fields, e.g. who a person is, what goes on the invoice or how the instalments come about.
- The discount applies to payment in full only. The rate of each course series is rounded down, the rounding rest goes on the first instalment (e.g. 1st instalment €60.06, then €59.99) – exactly what Stripe charges.
- Until a draft is sent as an offer, nothing is booked and no spot is taken.
- An open offer can be sent again with Send again (new link, the old one stops working), withdrawn with Withdraw (spots free) or changed with Edit (a draft again, send it afterwards).
- When an offer runs out, the spots become free automatically; the package then shows Expired.
- Cancel a running package on the package page under Bookings: Cancel all, or tick bookings and Cancel selection. It is the normal cancellation – you enter the refund share, Stripe refunds it and every invoice gets a credit note.
- With monthly instalments cancelling ends the subscription of the chosen series – after the current instalment or right away, as with a course subscription. The other series keep running, so the monthly amount goes down. Failed instalments, reminders and ending by the customer work like course subscriptions too.
Menu names adapt to your industry – instead of "Courses" you may see "Classes" or "Services".
